How to Organize an Event - Fueling Good 101

In all the excitement of bringing your Fuel Good ideas to fruition, it's easy to lose sight of the nuts and bolts that are necessary to ensure a successful outcome. As you begin planning your event, use the following tips to stay on task and on schedule.

Define Your Key People

Don't try to take on too much on your own. You do everyone a favor by identifying people whose skills match your needs.

  • Secretary - Keeps meeting notes so that everyone is informed
  • Financial Person - Sets budgets; makes sure donations flow through a single channel
  • Promotions Person - Organizes the production of banners, flyers and other materials that help get the word out
  • Production Coordinator - Keeps track of donated goods; picks up donated merchandise; follows up with prospective donors; makes deliveries

Your Role

  • Establish and track goals and objectives
  • Create a timeline, follow through and follow up
  • Troubleshoot
  • Keep plans in motion
  • Schedule meetings with your main committee
  • Meet and get reports from key people

Once you have your team in place, schedule meetings to keep ideas coming in and sustain momentum within the planning group. Understand you cannot please everyone when scheduling meetings and do not let that holdup your planning. It's always a good idea to suggest a time with a couple of alternatives in mind.

While it's not always an easy road, organizing a Fuel Good event is wonderfully fulfilling and makes a real difference to your community. Good luck!
